About the position
To establish the University archive from the ground up: building the archival fund, developing a comprehensive document storage, records management, and access system in accordance with the legislation of the Republic of Kazakhstan, and ensuring effective interaction with state archival authorities.
Responsibilities
Establishing the University archive from scratch: developing a records nomenclature, fund classification scheme, archive regulations, and internal normative documents.
Receiving, processing, organizing, and ensuring the preservation of documents from all structural units.
Conducting appraisals of document value and preparing disposal acts for records with expired retention periods.
Organizing interaction with the state archive: preparing and transferring documents for permanent state custody.
Maintaining archival records: inventories, accession and deaccession logs.
Issuing archival certificates, copies, and extracts upon requests from employees, students, and external organizations.
Providing methodological and advisory support to units on proper filing and transfer of records to the archive.
Ensuring proper storage conditions and protection of documents against unauthorized access.
Participating in the implementation of electronic document management and the University's digital archive.
Requirements
Higher education in Records Management and Archival Studies, History, Jurisprudence, or a related field. Minimum 2 years of experience in archival work or records management.
Key competencies
Knowledge of the legislation of the Republic of Kazakhstan in the field of archival affairs and document management (Law of the Republic of Kazakhstan "On Documents and Archives").
Experience in independently building archival processes: records nomenclature, inventories, records management guidelines.
Knowledge of procedures for interacting with state archives and requirements for document transfer to permanent storage.
Skills in conducting appraisals of document value.
Ability to work with electronic document management systems.
Attention to detail, responsibility, and analytical thinking.
Proficiency in Kazakh and Russian languages.
